Job Vacancy – Volunteer & Internship Coordinator

Stepping Stones is a Shanghai-based volunteering organization with a mission to improve the education and general welfare of disadvantaged children in China. We train and support hundreds of volunteers to teach English, digital literacy and other subjects to thousands of disadvantaged students every week at dozens of project sites in Shanghai and rural China.

We are currently looking for a volunteer coordinator to recruit, manage and coordinate Stepping Stones’ volunteers and interns. This position is full-time, reporting to the Program Director Sebastien Carrier and working alongside the volunteer HR Assistant Linda Li, and the successful candidate will be Shanghai-based.

This position provides an exciting opportunity for a qualified candidate to utilize his or her skills in the non-profit arena, develop volunteer management skills and be directly involved in Stepping Stones’ programs, in a friendly and supportive work environment.


Job Description

1. Volunteer Coordination:

  • Recruit new volunteers by attending volunteer recruitment events and contacting partner institutions including international/private high schools and universities.
  • Maintain Stepping Stones’ presence in volunteer recruitment’s websites and media.
  • Be the first point of contact for new volunteers to communicate with.
  • Invite volunteers to training sessions and allocate them to the relevant programs.
  • Assist with scheduling volunteers and interns for the summer camps.
  • Keep in regular communication with program teams to check their needs for volunteers.
  • Organise volunteer appreciation activities, including end-of-term parties, coffee mornings, etc.
  • Work with the communications team to produce volunteer recruitment ads, help collect volunteers’ testimonials and highlight interesting stories.
  • Maintain the general database and ensure that it’s updated regularly.
  • Produce volunteer statistics for reporting purposes.
  • Check Stepping Stones’ enquiry email and respond accordingly.

2. Internship Coordination:

  • Attend intern recruitment events and keep in communication with partner agencies.
  • Maintain Stepping Stones’ presence in intern recruitment’s websites and media.
  • Coordinate and track intern recruitment process.
  • Screen resumes and arrange interviews as appropriate.
  • Allocate interns to programs / supervisors, issue offer letters and follow up appropriately.
  • Maintain interns’ files and update internship data.
  • Conduct orientation and exit interview with interns and share findings with staff as appropriate.
  • Issue internship certificates and organize photos.
  • Update contact list and schedules of office volunteers and interns. Update WeChat group for interns.

Minimum Qualifications

  • Work experience in volunteer management, project coordination, in the non-profit sector and/or in volunteerism will all be useful, but being a quick learner is more important.
  • Fluency in oral and written English and Chinese. Good communications skills.
  • Strong organizational skills, detail oriented and ability to multitask.
  • Ability to work independently as well as within a team, and adapt in an ever-changing sector/environment.
  • Strong commitment to the NGO sector / development / social issues / education;
  • Excellent work ethic with a positive and flexible attitude.
  • Candidates from our beneficiary communities (from rural areas or low-income households) and Stepping Stones volunteers are strongly encouraged to apply.

Other Requirements

  • To ensure the sustainability of the relevant projects, a long-term commitment is preferred;
  • Note that some weekend and evening work may be required. We operate a flexible working schedule, where staff are encouraged to take time off to compensate for overtime worked.

Compensation and Benefits

  • Compensation will be at local market levels in the non-profit sector and take into consideration the skills and experience of the successful applicant. Stepping Stones will provide all statutory benefits, plus 10 days annual leave in the first year of employment.
  • Candidates need to be already based in China, noting that Stepping Stones is unable to cover relocation costs or assist with accommodation. Stepping Stones can apply for a working visa for qualified foreign nationals.

Start Date

  • Ideally by 15 August 2022.

Work Location

  • The Volunteer Coordinator will be based at Stepping Stones’ office at No 75, Leshan Road, Shanghai but will travel regularly to the schools and community centers. Occasional working from home may be possible.
